How the Booking Process Works (Start Here) 

Step 1: Create a Profile 

Every client must create a profile before booking.

  • Create one main account
  • Add a rider profile for each rider participating in lessons, camps, equi-sessions, or activities
  • Parents/guardians should add each child as a separate rider

Lessons and activities are booked per rider, not per account.

Step 2: Rider Grading (Required) 

All riders must be graded before booking lessons.

  • Once a rider profile is created, please allow up to 24 hours for grading
  • Grading determines which lesson types and time slots a rider can safely access
  • Riders cannot book lessons until grading is complete

Step 3: Ready to Book 

Once your rider profile has been graded, you’re officially cleared to book.

At this point:

  • Your rider will only see lesson types they are approved for
  • Available time slots will reflect current openings in the schedule
  • Some lessons may appear under specific categories (Private, Group, Lease, etc.)

If a lesson option or time does not appear, it means:

  • It is not appropriate for that rider’s current grade
  • The slot is already reserved
  • Or it is held for a lease or standing weekly rider

The system automatically updates as rider grades change, so additional options will open over time as riders progress.

If you are new to Apricus Equestrian:

  • New riders will initially see “Intro / Private Lesson” options only 
  • Intro lessons are private and taught by Abby or Reily 
  • These sessions allow us to evaluate experience, goals, and placement 

After your intro lesson:

  • Your rider grade will be updated 
  • Additional lesson options (group lessons, programs, etc.) will open automatically based on readiness

If you have ridden with us before but are new to the booking system:

  • Please create your profile and rider(s) as usual
  • Your rider grade will be applied or updated as needed
  • Once graded, you may book any lesson types available to your rider

If something looks incorrect or unavailable, please reach out before booking.

Lesson Options , based on rider grade and horse availability:

  • Private lessons
  • Mini Group/Group lessons
  • Lease Lessons

Not all riders will see all lesson types.

Tokens/Packages 

  • Lessons can be booked using lesson tokens
  • Tokens are applied at checkout when applicable

Lease riders are enrolled in a subscription/membership tied to their lease agreement. 

Lesson Details

  • Lessons appear under the “Lease Lessons” category
  • Lesson times are reserved and not available to other riders
  • Only assigned riders can see and book these times
  • Lessons are tied to the rider, horse, and standing weekly schedule

Booking & Payments

  • Lease riders are billed through a subscription, split into two payments per the lease agreement 
  • Lesson tokens/packages are included with the subscription 
  • Lessons must still be booked in the system to hold the time 

Missed or Canceled Lessons

  • If an assigned lease lesson is missed or canceled within the appropriate cancellation period, a single lesson token may be issued for a makeup lesson 
  • Makeup lessons are subject to availability

Riders who own their horse do not have a lease subscription but receive discounts tied to their rider profile. 

Lesson Details

  • Discounts apply to lesson packages and training subscriptions 
  • Lessons and training sessions still need to be booked through the system 
  • Training & Lesson packages are available under the subscriptions tab 
  • Regular lessons booked through the calendar

Regular weekly bookings are encouraged to secure preferred times and maintain consistent progress.

Riders with a child enrolled in 4-H receive a special 4-H discount profile applied to their eligible lessons 🍀

Our token system allows riders to purchase lessons upfront at a discounted rate. In the EcPro system, individual lessons are called “tokens”, and bundles of lessons are called “token packages.”

Token Packages

  • 4-token packages – for 1 or 2 rides per week
  • 8-token packages – for 1 or 2 rides per week

4-H riders may purchase one token per rider at a discounted monthly rate through the token section.

Important: Tokens expire 30 days from the date of purchase, so make sure to schedule your lessons within that timeframe.

Purchasing token packages is a convenient way to save on lessons while securing your spot in our schedule.
